Coeducate refund policy
What happens to money paid for Coeducate seats, from a single teacher to a whole district. In force since 14 October 2026.
The short version
Coeducate sells access by the billing period. The moment a Classroom, School, District or Enterprise subscription is paid, every licensed teacher can plan lessons, return feedback on student work and open staff reports for that entire period. We treat every such payment as settled for good. Only three narrow cases, listed further down, lead to money going back.
A school term is not a refund reason
Schools run on calendars that change, and the fee does not follow them. Nothing is paid back if:
- licensed teachers logged in rarely or never during the period,
- exams, holidays or a strike shortened the term the subscription was meant to cover,
- a course closed, a class merged with another or enrolment fell after payment,
- the district picked another platform or a new head teacher changed direction,
- an annual licence was chosen and the school decides in spring that it no longer needs it,
- nobody switched renewal off before the next period began,
- we closed the account after a breach of the terms of service.
When we do send money back
We billed you twice. Two charges for the same plan and the same period, caused by a fault in our billing, mean the extra charge is reversed in full.
Someone used a card without permission. Report it to us no later than 14 days after the payment. We compare the payment record with the sign-ins and invitations on the account, and if the charge turns out to be unauthorized, it is reversed and the account it funded is shut.
Coeducate stopped working altogether. If a fault on our servers left the whole service unreachable for your school during a substantial stretch of a paid period, and someone told us at the time, we can pay back the portion of the fee that matches the downtime. A slow page or trouble with the school's own Wi-Fi does not count.
Any amount we pay back lands on the same card or account the money came from and is capped at the fee for that one period.
Raising a claim
Write to support@coeducate.ai using the email address the account is registered under. Send it no later than 14 days after the payment, quote the amount and the payment date, and say which of the three cases you believe applies. We answer every claim in writing.
Stopping or resizing a plan
You can switch renewal off whenever you like. That prevents the next charge; the current one stays paid, teachers keep access until the period runs out, and no unused weeks or seats are credited. Adding seats or moving up a tier is billed straight away for the difference. Moving down a tier applies from the following renewal and creates no credit.
Automatic renewal
A subscription keeps renewing at the start of each new period until renewal is turned off. If a renewal payment is declined, it is still owed and our payment operator will attempt it again. Once a renewal has gone through, it falls under the same rules as the first payment.
What we can show
For every subscription we hold three things: the record that the terms were accepted at checkout, the account log of sign-ins, staff invitations and settings changes, and the payment operator's record of the charge with its 3D Secure outcome. These are what we rely on when we look at a claim or answer a dispute.
Going to your bank
Talk to us first. Filing a chargeback on a genuine Coeducate charge without having contacted us is a breach of the terms, and the account may be suspended until the bank reaches a decision. We send the card network the evidence described above.
Digital service starts at checkout
By completing payment you ask us to start providing Coeducate immediately. If you are a consumer with a legal right to cancel a digital service contract, you accept that you lose that right as soon as access begins.
Orders placed earlier
Anything paid before 14 October 2026 is handled under the terms in place on the day of that payment. The terms of service and the pricing page give the rest of the picture.
